Service FAQs

People are different and they also have different cultures. Each culture to some degree shapes our belief and behaviour.

Yes, the Holy Qur’aan and noble Hadeeth are applied in various ways. We encourage adopting the practice of Sahaabat (may Allah be pleased with them) and Imams of Ahl Al-Sunnat (May Allah have mercy on them) to ease our concerns and manage to resolve our issues.

We recommend self-Ruqyat Shar’i (invocation from Qur’aan and Sunnat) and may teach it if required. 

Generally speaking people receive one-off advice from Imams, mostly in a form of verdict or ‘Fatwa’.  In ICA we have Ulama (Islamic scholars) who are trained counsellors, we refer to as Islamic Consultants. In order to be culturally sensitive, we at ICA refer to cultural consultants who have a long practical knowledge in Islamic culture.  

Please continue where you are as more than one consultant/adviser will cause confusion.  We may have different approaches to handling cases. So, please continue with whom you are happy with.

Yes.  The concept of sincere advice is relevant to all human beings and ICA is a service that is available to all.

Advice can be given in a practical non-faith based manner upon request. However, we will recommend from time to time some traditions of Islam that we hope can work for all people. For instance, consultants may suggest to a couple to share their food from the same plate for a number of days.

Yes, however if female consultants are not available, you may agree to be helped by a male consultant.  In this situation, we will ask you to arrange a Mahram (male chaperone) to accompany you. However, the Mahram cannot be involved in the concern you are seeking advice about.

You will have one of two options.  Either you speak from behind a curtain/partition or in the same room with an open door or take the consultation over the phone/online.

Our ICA consultants are DBS checked and qualified in Islamic Cultural Advising. They receive ongoing review to meet our ICA Code of Conduct to ensure confidentiality, impartiality and accountability.        

Contacting My Consultant

While we appreciate you may feel the need to speak to your consultant before or after an ICA session; we request you to bring all your questions and discuss your concerns during the formal session.  Our code of practice is to keep our consultants’ work with clients during the formal assigned times of the ICA session.

We trust you will communicate with your consultant through the Azhari Admin Team.  If you have a message that you would like only the consultant to read and not the Admin team, please write this in the subject of the email.

You may appreciate that your consultant may have other commitments and will not be able to offer you the needed time.  If you write or test them, the two-way communication will be minimised; proper engagement and the needed interaction may be sacrificed.  This will result in poor service to our clients which we cannot accept at any price.

Session Venue

ACT has a number of venues in Manchester for ‘in person’ sessions nearby Manchester city centre.  ACT will inform you beforehand of all details for the venue of your choice. We are also working to have additional venues outside Manchester.

Our ICA consultants can hold sessions online via the consultant’s Skype or via our private conference landline 0203422695.  Unless you prefer a video call, we prefer over the phone using the conference landline due to the following:

    • The call is as to any landline; if you have free minutes, it will use these
    • We understand the phone line is more stable than an internet connection.  
    • Also,  it can take multiple users at the same time, e.g., if with the client’s consent, his parents/friend would like to join, they can.

ICA Consultation Sessions

Requests for advice can be made via email, text message.  ACT (for ICA) will respond via any of these means. You will be offered a suggested day/time for your session.

The availability of a suggested and/or reserved session will only be kept open for three working days from the date of the notice email; after which we reserve the right to offer the day/time to someone else.

Consultation sessions lasts for 50-60 minutes.

    • Also,  it can take multiple users at the same time, e.g., if with the client’s consent, his parents/friend would like to join, they can.

It depends on your case; your consultant will be more specific but the average case takes 6 to 10 sessions.

As a general rule, sessions are once a week.

Yes, you may take two types of notes; written notes and electronic notes.  You may be asked to make notes to take home with you; or you may be asked to write some instructions, exercises, recitations, or points for you to work on at home.  Any written notes will remain with your consultant for their review and to support your plan of action. However, you may take a snapshot on your mobile phone of homework or exercises; or ask us to scan all of your written notes and email them to you.  When your sessions conclude we will retain all notes for 12 months. It is your right to access them.

Yes, this is essential part of your sessions.  Copies and/or data will be confidentially saved in your file and the assessment will partly rely on.

Yes, however, if the matter is related to family, we may request, with your consent, to engage with the other members, if this is feasible and possible.  

Yes, a booking can be requested at any time.  However, an appointment can only be reserved at the discretion and upon confirmation of the consultant. Any appointment made on an emergency basis will be charged an additional 25%.

Professionalism and Confidentiality

All consultants and trainees have enhanced DBS checks along with the adequate training.

Yes.  There is an agreement of service you have to sign.  Then you will be issued a personal ICA reference number that corresponds with your confidential records that are kept solely to aid in your progress and for legal purposes.

Sessions are confidential and private.  However, consultants may seek your consent in advance to allow ICA students to be present at some sessions.

If it is necessary for you to bring someone, he/she may wait in another room during your session. This ensures that your issue is kept private and confidential.

Outcomes

We recommend having six sessions but your case may require up to 12 sessions or more. Nevertheless, if more sessions are needed, your consultant will discuss this with you.

Yes, it is part of our consultation session.  This is done every time you come for a session.  Your consultant may suggest a review session after completing nine sessions.

A review session lasting 25-35 minutes will be free of charge, this may be added to your tenth session.

We offer a follow-up session free of charge, which you should request within four to six weeks from the last session.

Consultants will review the feedback you leave at the end of the session. ICA also carries out a review after every three sessions to monitor progress.

No, no one can guarantee this. We are there to give you a hand to change some factors in your life that will help you to thrive and reach your potential.

Feedback helps to ensure that the quality of service remains at the highest possible level.  ACT will appreciate feedback of your experience as a whole, as well as regarding the performance of the consultants in handling your case in particular.  

Complaints

Please write in confidence to ACT, we will work to reply to your request and take any necessary steps to ensure we offer the best possible and satisfactory service to all.

You should get a reply from us within 24-48 hours.  We will endeavour to resolve any complaint to your satisfaction within 5 to 7 working days, In Sha Allah.

Follow Up

We offer two follow-up sessions free of charge, each will last up to 30 minutes, In Sha Allah.  We will contact you within four to six weeks after your last session for the first follow-up and within four to six months for the second – In Sha Allah.  

Yes, please contact us whenever you think we can be there for you – In Sha Allah.

Standard Fees

Upon receiving your request for our services, we ask one of our consultants to review your enquiry and if he/she can take it. We will text or email you requesting a summary of your concerns.  ACT will arrange an assessment session of 50-60 minutes which is £40.00 (inc. VAT).

Every ICA session will be charged according to one of three categories (all including VAT);  

  • Cat. A £140.00,  
  • Cat. B, £90.00* or
  • Cat. C £40.00.

 

*  Clients will be charged according to Cat. B unless ACT writes to them otherwise.  

Fees categories depend upon the complexity of the issue and expertise of the consultants.

No.  Cheques must be made payable to Azhari Consultancy & Training, Ltd. (ACT); write your Ref:  ICA [Your ID] on the back of your cheque. In addition, our consultants will not accept gifts or personal payment for ICA services.

Yes, provided you provide post-dated cheque(s) to cover and guarantee the full amount due.

The preferred method of payment is online or bank transfer, at least ten working days in advance, as follows:  Azhari Consultancy & Training, Ltd.;  Sort 20-54-58; Account 53775062; Ref:  ICA [your ICA-ID#]; or via Pingit telephone banking to 07710669490.

Yes, cheques may be made payable to:   Azhari Consultancy & Training, Ltd., provided advance notice of at least three working days is made to the finance team.  No future dated cheques will be accepted. Please write your Ref: ICA [your ICA- ID#] on the back of the cheque.

You may pay cash; if you prefer – please leave the money with your consultant in an envelope with (Your Name – ICA fee/date…)

Cash may be accepted in unusual circumstances with prior advance notice given to the finance team, at least three days in advance.

ACT will not approach a third party on your behalf to pay your bill, you have to do this. We may ask you to contact someone; to help you. Please ask for organisations that can be of assistance in this matter.

Booking Sessions

Yes, a one-off session can be arranged as deemed suitable by the ICA consultant.  Further one-off sessions can be arranged upon recommendation of your ICA consultant, if necessary.  

We will endeavour to accommodate an appointment as soon as possible, but cannot guarantee the same day.

You should make your request for an appointment within three weeks.  The date and time of the session should be within four weeks at the latest.

If you fail to book an ICA session within three weeks of making an advance payment, the payment is forfeited and you will not be refunded.

Cancellation

We will endeavour to accommodate any change in scheduling to the best of our ability, provided at least 72 hours (three working days) notice is given.  There is no guarantee that a last minute change can be accommodated.

If there is no option but to cancel a booked session at least seven working days in advance, or due to an emergency circumstance, there will be a full refund or re-arrangement of the session.

At ICA we respect and value your time as well as the time of our consultants who put all possible effort not to cancel or change your session unless due to unavoidable circumstances.  The policy is as below:

There is no refund for cancellation or request to change a booked session less than three working days in advance.  However, one of the following options will be applied:

Option 1:  Replace your cancelled session with a half session for no additional fee.

Option 2:  Replace your cancelled session with another full session for an additional fee of 50% of your regular payment.

We at ICA trust that our consultants will not cancel any scheduled session.  However, we understand that a cancellation may be necessary for one of of two reasons:

1)   In the case of an emergency or unavoidable circumstances.  In this instance, we will inform you straight away. You will be asked to reschedule your session and you will be allowed an additional 30 minutes of usual time.  Alternatively, you may ask for a refund of 50% of the paid fee for that session and make a new booking.

2) If we need to cancel a scheduled session and inform you at least 72 hours in advance, we will request that you reschedule the session for the earliest convenient day and time.

ICA Sessions

An assessment session can be between 25 – 35 minutes and a regular session between 50 – 60 minutes.  We usually recommend the first joint consultation to be a double regular session unless your ICA consultant advises otherwise.

Discounts

There is no discount for those in Cat. C.  A discount may be requested for those in Cat. A or Cat B.  Relatives of OSAIS students may be awarded a discount upon request.

  2. Clients referred by The School students 25%
  3. Clients referred by other clients 15%

You will be requested to submit an income form which will be reviewed by the finance team and a decision of any discount/waiver will be made accordingly.

Additional Charges

Any emergency bookings will be charged an additional 25%.

As a general practice, sessions will be held at venues in Manchester for ‘in person’ sessions nearby Manchester city centre or online.  However, as a courtesy service to clients, ICA consultants may agree to hold a session at the client’s venue.

The standard basic charge for transport is £10.00 per session held outside the ICA venue(s), up to 5 miles from Manchester city centre.  Otherwise the charge will be according to a receipt submitted by the consultant for standard economy fare on public transport; or according to the AA mileage calculator  if using their own car.

Yes, there will be a standard charge of 25% of your agreed fees to meet the cost of travel time for each session.  For example, if you pay £45.00 per session, this will add £11.25 making a total of £56.25.

No, there is no charge for transport, and this will be appreciated.  However, the charge for the consultant’s time to travel to an external venue will be added to the total amount due.

  • You may arrive no more than 10 minutes early.  
  • Upon your arrival, please text your consultant who will arrange to receive you.  We will text you his/her mobile number.
  • Sisters, please text or email if a Mahram is available to accompany you, at least 24 hours before the session.
  • Brothers and Sisters, if you are being collected after the appointment, you will wait at the venue until transport arrives.   
  • After the session you may stay up to 10 minutes to collect your thoughts, as the place may be needed for others.
